Boys & Girls Club of Oyster Bay-East Norwich is Hiring a Fundraising Coordinator Near Oyster Bay, NY

PRIMARY FUNCTION:

The Fundraising Coordinator will plan, organize, publicize and implement fundraising events for the organization as well as aid in enhancing the organization’s visibility, developing and implementing a stewardship plan and generating funds to ensure healthy and sustainable functioning.

RESPONSIBILITIES INCLUDE:

1. Plan and implement fundraising events including, but not limited to, Annual Benefit Cocktail Party and Online Auction, Golf Tournament and Ladies Night Out. Oversee event logistics, including obtaining sponsorships, soliciting donations and in-kind donations, and preparing related printed materials, and publications.

2. Assist in the creation and organization of the Club’s annual fundraising publication in the form of a calendar/notebook/planner.

3. Schedule/coordinate committee meetings, including room set-up, securing of refreshments, table/room set up, etc. Assist in providing support to volunteer committees, including various committees and special event work groups.

4. Assist in preparing and distributing agenda packets, attend and participate in fundraising committee meetings, recording notes/minutes and distributing same.

5. Complete fundraising special events tasks, including phone calls to secure/confirm details, vendor coordination/follow up, interaction with printer, graphic designer, follow up, etc.

6. Assist with donor outreach, including phone calls/solicitation follow ups and outstanding invoices.

7. Provide support for various fundraising projects/initiatives, as needed.

8. Coordinating special event volunteers, confirming schedules, assignments, etc.

9. Tracking attendance/participation for all special events.

10. Assist with writing/coordination and compilation of statistics/data for grant requests.

11. Provide support with donor relations and stewardship program that encompasses donor recognition events and publicity.

12. Develop donor files and maintain confidentiality.

13. Track and prepare year-end accounting for the Board of Trustees and Foundations.

14. Prepare and present for approval proposals to agencies, organizations, and foundations for financial support of the Club via current and other cultivation and solicitation materials, and planned giving, corporation, individual opportunities.

15. Design and implement direct mail programs, for example Annual Fund Drive.

16. Create and compose copy for all fundraising and outreach initiatives.

17. Provide support for various fundraising projects/initiatives assigned by Executive Director, such as endowments and major gifts.

18. Recognize contributions by writing acknowledgement letters, press releases and planning special recognition events.

19. Work with the Donor Database Coordinator to accurately track contributions through “Raiser’s Edge” and compare monthly against accounting income.

20. Work with the Donor Database Coordinator to track fundraising income and expenses, compile income status reports and variance reports.

21. Maximize the use of all Club staff during all fundraising events with effective delegation.

22. Encourage and support Board members and fundraising Committee members responsible for planning and implementing resource development activities.

23. Ensure design and development of public relations documents for use in the promotion of fundraising and education of public, including press releases.

24. Ensure the development and distribution of marketing documents and assist with management of Club website and social media venues, Mailchimp and electronic signs.

25. Increase visibility of the Club’s fundraising activities and maintain excellent public relations.

26. Complete and submit all required records and reports on time.

27. Participate in all emergency drills and environmental safety activities.

28. Attend all staff and program meetings, assigned trainings, and other work-related functions, as required. Report quarterly, or as invited, at Board of Trustees’ meetings and/or Interagency meetings.

29. Abide by all of the Boys & Girls Club policies and procedures, participate as a team member in assigned project activities and perform other tasks, as assigned.

30. Work cohesively with Club staff helping to foster a positive environment for staff and members.

31. Confer with Executive Director with respect to any problems, concerns, etc.

32. Submit all overtime hours or changes in schedule for approval to the Executive Director at least 2 weeks in advance.

33. Maintain work areas in orderly and professional manner.

34. The Club retains the right to change or assign other duties to this position.

PHYSICAL DEMANDS:

1. While performing the duties of this job, the employee is frequently required to walk, stand, bend, and talk or hear. The employee is occasionally required to sit; climb or balance; stoop, kneel, crouch, or crawl.

2. The employee is frequently required to use hands to finger, handle, feel or operate objects, tools, or controls; and reach with hands and arms.

3. The employee must frequently lift and/or move up to 20-25 pounds and occasionally lift and/or move 35-50 pounds.

4. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth vision and ability to focus.

5. The employee must be able to work in an environment with a moderately loud noise level.

6. The employee must have the ability to see and respond to dangerous situations.

Skills/Knowledge Required:

1. A minimum of a four-year degree in a related field from an accredited college or university, and/or equivalent experience.

2. A minimum of 2 years’ work experience in non-profit agency operations, specifically in the fundraising field, marketing or equivalent experience.

3. Considerable knowledge of fundraising techniques and sources of funding for non-profit agencies and organizations.

4. Knowledge of: the mission, objectives, policies, programs and procedures, and of the principles and practices of non-profit organizations, youth development services preferred.

5. Ability to organize and coordinate fundraising operations.

6. Strong communication skills, both verbal and written. Bilingual, English/Spanish is a plus.

7. Proficient in Microsoft Office/Excel, Internet, Email, Raiser’s Edge, Online Auction Platforms and the like. Knowledge of accessing and managing donor data base.

8. Ability to establish and maintain effective working relationships with Club staff, Board and Committee members, volunteers, community groups, and other related agencies.

9. Able to work with a variety of youth and adults, and to establish and maintain effective working relationships with Club staff, subordinates, Board and Committee members, community groups, and other related agencies.

10. Position requires excellent organizational and leadership skills, ability to manage multiple tasks, excellent written and oral communication skills, and ability to develop solutions to problems with limited supervision.

SPECIAL REQUIREMENTS:

1. Submit to a fingerprint/background check and other paperwork, as required by Boys & Girls Clubs of America and the NYS Office of Children and Family Services.

2. Submit Staff Medical Statement Form (OCFS-6004) signed by a physician documenting clearance to work in school-age child care setting, including a TB Test, as required by the Office of Children and Family Services.

3. This position requires that the employee must have and maintain a valid driver’s license with current insurance, and a minimum of two years’ driving experience, as position may require operating Club’s vehicle.

4. Requires some evening and weekend work to prepare for and attend Club programs, as well as fundraising events.

Job Type: Full-time

Pay: $45,000.00 - $50,000.00 per year
